While no wedding will be perfect, often the most memorable and special moments will be created from the unexpected. Nevertheless, having a checklist in order to help keep things running according to plan is advisable for staying organized and avoiding any large mishaps or disasters. Creating a checklist will be an ongoing process. As you go through the wedding planning process, new details will continue to pop up that need to be added to your list.

  1. Photography

    • The photographs are a critical aspect of the wedding, as once the day is over, they will be what you have left from the special day. Create a checklist for the photographer of all the important shots you want of your special day. This could include action shots of walking down the aisle with your father, the exchange of the wedding rings and the wedding kiss. It could also include wedding photos you want of certain family members, such as your grandparents, or even specific locations, such as a shot of the bridal party on a nearby bridge. Be sure to give the photograph enough leeway to do her job and capture special shots and moments you would never have even thought of, in addition to the planned checklist.

    Music

    • Having a checklist for the DJ is advisable to keep the wedding moving at a steady pace and keeping guests enjoying themselves on the dance floor. Create a list of the songs you want played during the wedding ceremony, if any. Many couples prefer soft music to be played as guests find their seats, as the bridal party processes down the aisle and as the newly wed bride and groom proceed back down the aisle as husband and wife. For the wedding reception, you will need songs for the bridal party's grand entrance, a first dance song for the bride and groom, songs for the bridal party dance, the father daughter dance and the mother son dance. You may also want to specify songs for the cocktail hour, the cake cutting, the bridal bouquet toss as well as the general dance music. Specify for the DJ if the reception will allow song requests from the guests as well.

    Food

    • Create a checklist to make sure you covered all aspects of the wedding food and beverages. List all the preferred hot and cold hors d'oeuvres, dinner courses, main entree options and dessert options, especially if offering a Viennese table. Also include a listing for the beverages served. Make note of a cocktail hour or if the reception will be open bar. If you are serving open bar, specify for yourself if the liquors are top shelf or house liquors and if you will have a champagne toast.

    Guests

    • There are a variety of wedding planning details that relate to the guests and their needs. Keep track of your plans for wedding table seating, ideas for place cards and favors as well as the linens and centerpieces for the guests' tables. Keep track of the different hotels in the area and the rates for blocked off rooms. Include transportation details of how you will transport the guests to and from the wedding ceremony and reception and the reception to the hotel. This is especially important if you are featuring an open bar, as you will want to ensure the wedding guests have safe transportation. Look into renting a bus for the evening if the hotel does not provide a shuttle service.
